We do not take the protection of Personal Data lightly. In this Privacy Policy you will find out for what purpose, for what reason and how we process your Personal Data. You will also find information on what your rights are in relation to the protection of Personal Data.

We need some Personal Data for the conclusion and performance of a contract, and we process some Personal Data on the basis of our legitimate interest. For some Personal Data, we are required by law to process it, for example for accounting. In some cases, we use Processors who may have access to your Personal Data, such as accounting firms or marketing specialists. Where necessary, we will seek your consent to process Personal Data.

Terms used in this Privacy Policy

Business Partner
a person who has entered into a business-to-business (B2B) cooperation agreement with us.
Conference
a professional and social event dedicated to the networking and education of leading software professionals in the CEE region through lectures and hands-on workshops.
Data Subject / you
a natural person to whom the Personal Data relates, most often a user of our Website, a Conference attendee or a Business Partner.
GDPR
Regulation (EU) 2016/679 of the European Parliament and of the Council.
Newsletter
usually an e-mail or SMS message sent to the addressee for the purpose of promoting similar products and services.
Personal Data
any information about the Data Subject from which he or she can be directly or indirectly identified.
Processing of Personal Data
means any operation or set of operations on Personal Data or sets of Personal Data that is carried out with or without the aid of automated processes, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or any other disclosure, alignment or combination, restriction, erasure or destruction.
Processor
we use other entities that process Personal Data on the basis of a contract or other mandate for the Controller.
Special categories of Personal Data
data that we understand to be more sensitive. For example, it relates to what your ethnicity is, what your sexual orientation is, whether you are in a trade union, or how your health or faith is. Genetic and biometric data are also considered to be a special category of data if they are processed for the purpose of uniquely identifying a natural person.

What personal data do we process about you?

We process your Personal Data only to the extent necessary to achieve the purpose for which the data was collected, and we comply with technical and organisational security rules when processing it. The processing of Personal Data is automated, but we do not carry out profiling. As a general rule, we only hold the following data about you. If we also process other Personal Data about you, we will inform you of this directly under the specific purpose of processing.

  • First and last name, contact details, especially email address and telephone number.
  • Order notes and other information you provide to us in communication with us, in particular your questions and answers to your questions.
  • Billing information and bank account details, necessary for accounting and processing payments.
  • Cookies and IP address, data about your activity, including information about your device or operating system.
  • Identification data of entrepreneurs, in particular the company's registration number, company name and registered office.
  • The comments you make on our social media posts, especially LinkedIn and Instagram, as well as your profile name on these social media and the information you make publicly available on your profiles.

Special categories of Personal Data. We do not process any Personal Data of a sensitive nature about you.

Participation in the Conference. We will take photographs and video footage during the Conference to promote future events. If you do not wish to be photographed, you can inform our photographer directly at the Conference. Alternatively, you can send your objection to us processing photographs and video footage in which you appear to weare@engineeringleaders.io.

If you visit our Website, we process your Personal Data for the purposes set out in this table.

If you visit our Website via a mobile phone, we may also process data about your phone.

  • Closed queries are periodically deleted, but no later than 4 years after the query was asked.

Conference participants

If you purchase a ticket and register to attend the Conference, we will process your Personal Data for the purposes set out in this table.

Why?

  • Registration and ticket purchase: you can register and purchase tickets for the Conference via our Website. We process your data for the performance of the contract.
  • Participation in the Conference: when you enter the Conference, we process your Personal Data for organisational reasons, e.g. to record your attendance, for the performance of a contract.
  • Photos and videos from the Conference: we carefully record the entire Conference and publish the videos and photos for further promotion. It may happen that we capture you in a photograph. We have a legitimate interest in promoting the Conference.
  • Direct marketing, in particular sending Newsletters: if you have registered for the Conference, we will send you the Newsletter, based on our legitimate interest in promoting the Conference. You can unsubscribe in the footer of the email.

  • Name, surname, email address, company name and your job title, billing information.
  • Name, surname, company name and your job title, participation/non-participation in the Conference.
  • Identity, or name and surname. If you would prefer not to be recorded during the Conference, please indicate this at registration or email us. You will be seated in a place where as much privacy as possible will be ensured.
  • Name, surname, email address, company name and your job title.

How?

  • Cookies or other technologies for tracking user behaviour.
  • You fill in these details in the registration form on our Website.
  • You have provided us with this information in the registration form on our Website. We process it during the Conference for organisational reasons.
  • Photos and videos are taken during the Conference, please provide us with your name when registering.
  • We send the Newsletters to inform you about our services and news.
  • We process Personal Data necessary for the purpose of handling the enquiry. Communication is by email.
  • After filling in the payment information in the profile, we save this information to create an invoice.

How long?

  • The processing time varies according to the type of cookie. Some process data only for a session (visit), some for longer.
  • For the duration of the contractual relationship and subsequently for 5 years after the end of the contract.
  • For the duration of the contractual relationship and subsequently for 5 years after the end of the contract.

Conference speakers

If you will be presenting at the Conference and thus participating in part of the programme, this section applies to you.

  • Photos and videos from the Conference: we carefully record the entire Conference and publish the videos and photos for further promotion. We have a legitimate interest in promoting the Conference.
  • Direct marketing, in particular sending Newsletters: if you have registered for the Conference, we will send you the Newsletter, based on our legitimate interest in promoting the Conference. You can unsubscribe in the footer of the email.

We can agree on mutual cooperation. This section relates to the Personal Data we may process for this purpose.

Who are our processors?

We only use verified Processors with whom we have a written contract and who provide us with at least the same guarantees as we provide to you. We will be happy to provide you with details of Processors on request. The Processors for each of our activities:

  • Website operation and its security: Cloudflare.
  • Website analytics and session recording: PostHog.
  • Inquiry handling and communication with us: Google, SimpleShop.
  • Administration of the Conference and the community: Talkbase.
  • Accounting, processing of payments: iDoklad, Stripe.
  • Photos and other video/audio recordings: Aleš Král.
  • Marketing: Ecomail, Google, Instagram.
  • Social media: Instagram, LinkedIn.

Legal obligations. We may transfer Personal Data to third parties other than our Processors if required to do so by law or in response to lawful requests by public authorities or a court order.

Analytics is on by default. Rejecting stops it completely: our analytics script is never loaded on the page, so nothing is stored in your browser and no page views, session recordings or interactions are collected. The advertising cookies in the table below are kept either way, so we can still tell which campaigns bring people here.

Which cookies do we use?

  • consent_v1: Remembers whether you accepted or rejected analytics. Stored for 180 days. Set by this site, and it is strictly necessary.
  • ph_…_posthog: PostHog identifier that links page views from the same browser. Not set if you reject, and deleted if you reject later. Stored for 1 year. Set by PostHog.
  • attr_gclid, attr_fbclid, attr_li_fat_id, attr_utm_…: Remembers which ad, campaign or link brought you here, so we can tell what works. These are kept even if you reject analytics. Stored for 90 days. Set by this site.
  • __cf_bm, cf_clearance: Bot management, rate limiting and the anti-spam check on our forms. Stored for 30 minutes to 1 year. Set by Cloudflare, and it is strictly necessary.

What measures have we taken to protect your Personal Data?

Technical measures. Security is very important to us and we are constantly working to ensure that your Personal Data is protected. When choosing measures, we take into account the scope of processing, the riskiness of the processing, and the state of our technology.

  • We regularly back up data.
  • We update antivirus software systems.
  • We use secure HTTPS protocol.
  • Access passwords to information systems and access permissions are controlled at the individual level.

Organisational measures. We have adopted and are committed to maintaining the following measures:

  • Our employees are bound by confidentiality.
  • Our employees are properly and regularly trained on GDPR and familiarized with the rules of safe work on work equipment.
  • Access to all systems, including the IT system, is personalised and covered by secure passwords.

Your rights and the possibility to make a data protection request

In relation to the protection of Personal Data, you are guaranteed the rights described below, which you can exercise at weare@engineeringleaders.io, or via post at the address of our registered office.

We will respond within one month at the latest. If providing the information would jeopardise the privacy of others, or would be disproportionate to the risks or costs of providing it, we may not be able to comply. To deal with your request as soon as possible, we may need to verify your identity. In the event of a repeat request, we are entitled to charge a reasonable fee for a copy of the Personal Data.

  • Right of access to Personal Data. We will confirm whether we are processing your Personal Data. You have the right to be informed about the purposes of the processing, the categories of Personal Data, the recipients to whom it is disclosed, and the duration of the processing, and whether any right has already been exercised. This is subject to not adversely affecting the rights and freedoms of other persons.
  • Right to rectification of inaccurate data. You have the right to request the correction of inaccurate Personal Data.
  • Right to erasure. If there is no other reason to further process the data, we will delete or anonymise the data requested by you.
  • Right to restriction of processing. Please contact us if you believe that we are processing data incorrectly, whether it is the reasons for the processing or the extent of the processing.
  • Right to be notified of rectification, erasure, or restriction of processing. If you contact us with your request, we will inform you of the result. Sometimes we may not be able to comply, for example if the email address from which you wrote to us is no longer working.
  • Right to portability of Personal Data. We will provide the Personal Data that you have provided to us in a structured and machine-readable format to another controller of Personal Data at your request.
  • Right to object to the processing of Personal Data. If we process your data on the basis of a legitimate interest, for example sending the Newsletter, it is up to us to prove our legitimate interest. If your objection is justified, we will stop processing Personal Data.
  • Right to withdraw consent to the processing of personal data. If you have changed your mind, please let us know. Processing for marketing and commercial purposes can be revoked at any time.
  • Automated individual decision-making, including profiling. Don’t want to be decided by a computer? We respect your rights, so we do not carry out profiling.

Final provisions

This Privacy Policy may only be amended in writing. You will be informed of this via our Website.
